Partial Planning & Event Styling

Designed for clients who have already begun planning, but want professional support to refine, polish, and coordinate.

Includes:

  • Design Consultation – Refining your vision to ensure consistency in style, décor, and flow.

  • Vendor Referrals – Curated shortlist of vendors (florals, catering, cake, rentals, entertainment, etc.) to fit your style and budget.

  • Contract Review – Reviewing 2–3 vendor contracts for fairness and clarity.

  • Budget Alignment Session – Reviewing and advising on your existing budget.

  • Timeline Creation – Crafting a high-level event flow, including setup and key moments.

  • Venue Walkthrough – One walkthrough with you to advise on layout and logistics.

  • Planning Portal Access – Optional digital portal for task tracking and updates.

  • Final Check-In – Reviewing progress, confirming responsibilities, and ensuring all vendors are aligned.

The Prestige Experience

Full-Service Planning & Coordination|

Our most comprehensive service, designed for clients who want everything handled from vision to execution.

Includes:

  • Event Concept & Design – Full creative direction with mood boards, décor concepts, color palettes, and styling.

  • Save-the-Dates & Flyers – Creation of event collateral such as digital save-the-dates, invitations, and flyers.

  • Program Creation – Designing the detailed day-of program (run of show) for guests and vendors.

  • Venue Sourcing & Walk-Throughs – Research, negotiation, and multiple walkthroughs to finalize layout and flow.

  • Vendor Selection & Management – Curating and managing:

    • Caterer (or coordinating contributions if self-catered)

    • Florist & décor providers

    • Entertainment (DJ, musicians, performers)

    • Photographer & videographer

    • Cake & dessert vendors

    • Rentals (tables, chairs, linens, etc.)

    • AV, lighting, and special effects (via trusted vendors)

  • Weekly Meetings & Check-Ins – Ongoing planning calls and updates to track progress.

  • Budget Management – Developing and aligning budget with priorities; tracking expenses.

  • Guest Management – Invitations, RSVPs, seating charts, favors, and guest experience touches.

  • Hospitality Oversight – Coordinating with designated staff/hosts for valet, guest arrival, or security as needed.

  • Planning Portal – A digital dashboard to track tasks, deadlines, and completed items in real time.

  • On-Site Management – Receiving and overseeing vendors on the event day, ensuring timely setup and execution.

  • Gift & Favor Coordination – Sourcing, assembling, or distributing favors/personalized details.

  • Creation of a detailed day-of timeline (including vendor schedule and event program).

  • Final vendor confirmations in the week leading up to the event.

  • On-site management — receiving and directing vendors, overseeing setup, guest flow, and transitions.

  • Emergency kit & troubleshooting to discreetly resolve unexpected issues.

  • End-of-night wrap-up — ensuring rentals, décor, and personal items are collected or returned.

1. I’m not sure which service tier is right for me. What should I do?
If you’re unsure, we recommend booking the
Eventrixe Signature Start — a complimentary consultation. We’ll talk through your goals, preferences, and budget to help you choose the perfect tier.

2. Is the consultation fee refundable?
Consultation fees are non-refundable but are applied toward your final invoice once you move forward with a service. (The only exception is the complimentary Signature Start session, which is free.)

4. Can I book a service without a consultation?
No — all custom planning services (travel, event, and concierge) begin with a consultation. This ensures we fully understand your needs and can deliver a tailored experience.

3. How far in advance should I book my event planning service?
We recommend booking at least 3–6 months in advance for partial planning, and 6–12 months in advance for full-service planning. This ensures the best venue and vendor availability. For intimate dinners or smaller soirées, shorter timelines may be possible depending on scope.

5. Do you work with outside vendors, or only your preferred list?
We have a curated network of trusted vendors that we highly recommend for quality and consistency, but we are happy to collaborate with outside vendors of your choice. All vendors will be reviewed to ensure they align with Eventrixe’s standards of excellence.

6. Do you provide day-of coordination if I haven’t booked planning services?
Day-of Coordination is available only as an add-on to Partial Planning. This ensures we have enough context about your event to manage it seamlessly. We do not offer “day-of only” services without prior planning involvement.
